<p>The <strong>Operations Manager</strong> is responsible for day-to-day operations at our small non-profit arts education organization. This person will manage budgets, database, and reporting to keep track of the big picture and identify areas for improvement. The Operations Manager will be the lead staff member responsible for coordinating administrative and financial operations, and work in collaboration with fellow staff, bookkeeper, accountant, board and volunteers. This is a full time, salaried position, 40 hours/week. We seek a new teammate who is a highly organized and experienced administrator, who is also a creative and strategic thinker, comfortable in a collaborative and diverse work environment. Bilingual skills (English/Spanish) is preferred/ ideal. Demonstrated ability to interact effectively and work successfully with persons of diverse backgrounds, including racial and ethnic, socio-economic, international, and LGBTQIA+ identities is essential. This is a full time, in-person position with some hybrid flexibility.</p> <p><strong>Enchanted Circle</strong> is a 501(c)3 Arts Integration organization dedicated to engaging, enhancing, and inspiring Culturally Responsive learning through the arts. Enchanted Circle’s arts integration approach is rooted in equity and belonging, as illustrated in our Core Principles of Socially Just and Culturally Responsive education, Trauma Informed connection, Social-Emotional Learning, Community Care, and Embodied Healing practices. These principles guide Enchanted’s arts integration work with Massachusetts schools, institutions, organizations, community leaders, and human services agencies in transforming our educational and youth support systems. Culturally Responsive Arts Integration (CRAI) offers all learners a holistic and creative approach to education, one that is accessible and equitable, which connects us to ourselves, to one another and to our world.</p> <p><strong>Structure and Company Culture</strong>: The coming year marks a new staff structure at Enchanted Circle grounded in collective leadership and democratic principles. The design includes a Board of Directors, an elected Leadership Circle, and Committees drawn from staff, board and community. The structure is designed to have multi-directional feedback loops, clear pathways for participation in crucial decision-making, and shared leadership of the organization. We seek to generate a space where employees can bring their whole selves to their work in a spirit of collective liberation and belonging.</p> <p><strong>Tools & Technology Requirements:</strong> Highly proficient with Google Suite, Mac OS X, Quickbooks Online, Microsoft Excel, Bill.com. Familiarity with donor management and payroll software (or ability and desire to acquire literacy).</p> <p><strong>Responsibilities:</strong></p> <p>● Create and send contracts, customer invoices, track revenue</p> <p>● Process hire letters and updates in position conditions</p> <p>● Process employee CORI and SORI Forms, and other logistical onboarding</p> <p>● Program expense and income tracking</p> <p>● Monitor organizational and program budgets ongoing</p> <p>● Coordinate, and contribute to, a collective budgeting process for the organization</p> <p>● Pay bills, maintain automatic payments, and make bank deposits</p> <p>● Purchase and track supplies for office and programming</p> <p>● Process bi-weekly payroll, state/federal taxes, & retirement contributions</p> <p>● Process subcontractor payments</p> <p>● Generate Quickbooks Pro & Checkwriters payroll reports as needed</p> <p>● Manage donations, pledges, and reports in the fundraising software; coordinate bulk mailings and annual report publication</p> <p>● Process & automate donor invoices, pledge reminders, receipts, thank you letters</p> <p>● Assist with financial correspondence, bookkeeping support, financial reviews, and insurance audit</p> <p>● Help the organization’s processes remain legally compliant</p> <p>● Filing & archival responsibilities</p> <p>● Oversee the management of the administrative office – master calendar, filing, answering phones, ordering supplies, maintenance of equipment</p> <p>● Ensure all operations are carried on in an appropriate, cost-effective way</p> <p>● Improve operational management systems, processes and best practices</p> <p>● Inspire and motivate fellow company members, and help to build an enjoyable company culture</p> <p><strong>Qualifications and Skills </strong></p> <p>● Preferred 5 years office/operations management, including systems and procedures</p> <p>● Knowledge of accounting, data, and administrative management</p> <p>● Experience working with AP/AR, budgeting, and understanding financial statements</p> <p>● Strong organizational, planning & coordination abilities; detail oriented</p> <p>● Relationship development and management skills; orientation to network-building</p> <p>● Excellent interpersonal and communication skills, both written and verbal</p> <p>● Ability to adapt and respond nimbly to evolving priorities, work independently, and as part of a creative team to achieve organizational goals</p> <p>● A track record of solving ambiguous problems, building for the future, and seeing around corners</p> <p><strong>Qualities</strong></p> <p>● Commitment to racial equity, radical inclusion and welcome</p> <p>● Committed to the mission, vision and values of Enchanted Circle</p> <p>● Enthusiasm for a collective, non-hierarchical leadership structure</p> <p>● Enthusiasm for participating in collaborative decision-making and organizational transparency</p> <p>● Interest in participating in the organization’s Leadership Council, if elected</p> <p>● Highly organized, acute attention to detail, dependable, strong follow-through skills</p> <p>● Go-getter and self-motivated to make the workplace the best it can be</p> <p>● Not afraid to ask questions, delegate and ask for support</p> <p>● Collaborative, flexible, team player, values democratic decision-making</p> <p>● Effective, ethical, inclusive leadership abilities and outstanding people skills</p> <p>● Demonstrated team orientation and passion for working with and supporting others in a mission driven organization</p> <p>Expected Salary range $58,000 - $62,000/yr., commensurate with experience</p> <p>Benefits include paid floating holidays, paid time off, retirement plan, flexible working schedule & hybrid opportunities, professional development opportunities, and wellness programs.
